Pre-Collection Workflow

Pre-collection is the airlock between field data collection and the social registry. Collected households are reviewed, validated or rejected, then integrated into the registry.

Access

Side menu: Data Collection > Households tab

It is the only path from a collection to the registry. Kobo, Survey Solutions and file imports (Import button) arrive here with Imported status.

Four cards at the top of the page: Imported, In validation, Validated, Rejected. Clicking a card filters the list on that status; clicking again removes the filter.

The list shows pages of 20, 50 or 100 rows.

Search and filters

• Search by code or head name.
• Collection status: Imported, In validation, Validated, Rejected.
• Region, Sector, Locality.
• Campaign and Enumerator.
• Collection start date and end date.

Reset filters clears them all.

Validate a household

1. Click View to open the household record and check its data: head, composition, housing, GPS coordinates.
2. Back in the list, click Validate.
3. Confirm.

Reject a household

1. Click Reject.
2. Enter the rejection reason, required.
3. Click Confirm rejection.

The household moves to Rejected status and the reason is kept.

Bulk actions

Tick several households: an action bar appears.

• Validate selection validates imported or in-validation households.
• Integrate selection integrates validated households.

Ticked households that are not in the right status are skipped by the action.

Tip

Filter by campaign or enumerator before a bulk action, to process consistent batches.

Integrate into the registry

Click Integrate on a validated household, or Integrate selection. The system:

• checks matches against households already in the registry: if the identity document or the head's phone are identical, integration is refused and nothing changes;
• assigns the USR identifier;
• records the institution that collected the household;
• computes the PMT score with the project's method and evaluates the household's eligibility for each program of the project.

The household then leaves pre-collection and appears in Social Registry > Households, marked "In the registry".

A blocking match is not a failure: the household stays Validated in pre-collection and the reason is shown. In a bulk integration, it is counted as an error without stopping the batch.

Read-only projects

Households of an archived project, such as PRSSB, can no longer be validated or integrated.
